Interview with Jennifer

ABOUT JENNIFER

Jennifer is an experienced Virtual Assistant with Australian client support experience across administration, client communication, document processing, database management, reporting, appointment coordination and external follow-ups. Since joining Affordable Staff in August 2025, she has worked in a structured client environment where accuracy, confidentiality, clear communication and consistent follow-through form part of her day-to-day responsibilities.

Her current responsibilities include maintaining client information, preparing and organising documents, updating records across multiple systems, coordinating appointments, monitoring outstanding requirements and communicating with external parties by phone and email. She also has practical experience making outbound calls to gather information and provide updates, giving her relevant experience for a General Administrative Support role that includes lead contact and follow-up.

Jennifer holds a Bachelor of Science in Psychology and brings additional administrative and people-facing experience from internships across industrial, educational and clinical settings.

ONBOARDING TRAINING AND ASSESSMENT

At Affordable Staff, we aim for each team member to possess a robust understanding of administrative tasks while also developing a deep appreciation and comprehension of Australian business practices and cultural nuances. This ensures they are exceptionally well-prepared to support their clients effectively across various industries. While this training may include real estate concepts, the skills acquired provide a comprehensive foundation in general administrative competencies, ensuring that trainees are versatile and capable of handling a wide range of administrative tasks.

Affordable Staff understands that business processes and regulations vary by industry and location. Our basic training covers general administrative principles applicable across different sectors in Australia, and we emphasise the importance of client-specific training to address unique operational needs.

Jennifer is equipped with specialised knowledge and skills tailored to administrative support roles. Jennifer’s training began with an introduction to key administrative functions, including reviewing training materials and engaging in hands-on exercises to build essential skills. Practical tasks such as processing invoices, managing documents, coordinating schedules, and handling routine correspondence are central to the curriculum.

These exercises familiarise Jennifer with common administrative procedures and enhance their data entry, organisation, and communication skills—critical for ensuring accuracy, efficiency, and professional service in any administrative role.

AFFORDABLE STAFF TOOLS TRAINING

Tools training is an integral part of the General Admin training program, ensuring our team members gain proficiency in essential software used in day-to-day operations. Our team members were introduced to LastPass for password management, Outlook for email and calendar organisation, TechSmith for capturing and recording, Hubstaff for time tracking, Zoom and Teams for virtual communication, OneDrive for file management, and Trello for project management.

Each session combines theoretical instruction with practical, hands-on activities, allowing Jennifer to apply the learnings immediately. Jennifer is knowledgeable on how to securely manage passwords, organise and categorise emails, capture and share visual content, track work time and productivity, conduct and manage virtual meetings, handle cloud storage, and manage projects effectively.

Additionally, time permitting, Jennifer and all team members receive an overview of industry-specific tools tailored to client needs, ensuring adaptability to various business environments.

This comprehensive approach ensures Jennifer is well-equipped to handle a variety of tools, leading to increased efficiency and task productivity.

She has also worked across different systems and process requirements, while her continued cross-training has broadened the types of administrative workflows she has encountered.

INTERPERSONAL SKILLS AND PERSONAL CHARACTERISTICS

Jennifer’s current responsibilities require professional interaction with clients, prospective clients, lenders, consultants and internal stakeholders. She communicates through telephone and email, gathers information, provides or records updates and coordinates information between different parties.

Her Psychology background also provided experience conducting interviews and interacting with people across clinical, educational and workplace settings. This gives her a useful foundation for roles where administrative work is combined with regular communication and follow-up.

SUITABILITY

Jennifer is suitable for any General Administrative roles.

WHY JENNIFER IS SUITABLE FOR THE ROLE

Jennifer brings practical Australian client support experience together with a broader administrative and communication foundation. Her current responsibilities already require many of the working habits relevant to General Administration: maintaining accurate records, handling documents, updating systems, coordinating information, monitoring outstanding requirements and communicating with people outside the immediate team.

Her outbound calling experience is particularly transferable. She has made professional calls to external parties to discuss matters, gather required information and record the outcome for further action. While this is different from calling sales leads, it has given her practical experience communicating professionally over the phone and completing the administrative follow-through that comes after a conversation.

Jennifer also has experience communicating with prospective clients through email, maintaining client information and coordinating appointments. Combined with her continued cross-training, this gives her a relevant foundation for a General Admin position where lead contact forms part of a broader administrative role.
